Choose one outcome first

Start with a task or decision that staff need to understand. A policy may contain background, definitions and responsibilities, but a lesson needs a clear purpose. Decide what a worker should be able to explain or do differently after completing it.

Translate the document into a pathway

Divide the content into a short introduction, an everyday example and a check of understanding. Keep the approved policy available as the source of detail. Use familiar words and explain necessary terminology rather than copying a paragraph because it sounds formal.

Show the workplace connection

A fictional example can follow a worker from noticing a concern to finding the approved procedure and contacting the right person. Make the roles clear. Avoid naming real participants or creating a scenario that accidentally reveals someone’s personal circumstances.

Review accuracy before launch

Ask the policy owner to check the lesson, scenario and quiz together. Confirm that names, links and reporting instructions are current. A polished lesson is only useful when the underlying instruction has been approved by your provider.

Maintain it as part of the policy

Choose a review trigger, such as a policy change or a system replacement. Care Enable can assist with this design and conversion process. Agree who approves content and how future policy changes will be reflected in staff learning.

A practical learning-design guide. Adapt examples to your approved procedures, staff roles and support context.

Policy to training: a practical team exercise

Test one lesson against its policy

Choose a short fictional workplace example and ask a reviewer to locate the relevant instruction in the approved policy. Compare the lesson, scenario answer and source document. Resolve differences before publishing the learning.

Review these questions

  • Is the policy current?
  • Does the example change its meaning?
  • Is the escalation contact correct?

Agree one improvement, nominate the person responsible and choose when to review it. Keep the exercise separate from decisions requiring specialist advice or role-specific authorisation.
