What the official guidance says
The NDIA provides lists explaining what are and are not NDIS supports. Its current guidance says a funded item needs to be an NDIS support, related to the person’s disability and in line with their plan. Replacement supports have a separate approval process.

Explain without promising
Staff may be asked whether a purchase is covered. Train them to recognise the question, locate the approved source and refer it to the appropriate person. A general website article or a course completion certificate should not be used to decide an individual funding request.
Give staff a clear boundary
Decide which roles can discuss service costs and which roles should direct a question to a manager or the participant’s agreed contact. A simple escalation instruction is often more useful than a long list of examples that may become outdated.
Keep provider training costs separate
Do not assume that a staff training subscription can be charged to a participant’s plan. Business learning costs and participant supports are different decisions. Obtain appropriate advice and confirm any proposed claim against the current rules and individual circumstances.
Use accessible resources
When a person wants information, offer the official explanation in a format they can use, with support if requested. Care Enable can help create staff learning about respectful communication and internal responsibilities while keeping funding decisions with the appropriate decision-makers.
NDIS support lists: a practical team exercise
Practise a careful response
Ask one person to play a worker receiving a general funding question. The learner should explain the limits of their role, locate the official reference and identify the appropriate contact. Avoid determining an individual request in the exercise.
Review these questions
- Is the response accurate?
- Is the next step clear?
- Are business costs being confused with participant supports?
Agree one improvement, nominate the person responsible and choose when to review it. Keep the exercise separate from decisions requiring specialist advice or role-specific authorisation.
