Map the current handover

Write down what happens when a new worker joins: which forms they receive, what learning they complete and who checks the result. Mark the points where a person waits for another person or where information is entered twice.

Choose one clear improvement

A policy acknowledgement or training request may be a useful first form. Decide what information is necessary and what the response should trigger. Do not turn a simple acknowledgement into a large form that staff complete without understanding its purpose.

Connect the form with learning

Place the acknowledgement at an appropriate point in the pathway and explain what it records. Completion of a form is not the same as demonstrated understanding. Use a knowledge check or discussion where the requirement calls for more than confirmation that a document was opened.

Keep an owner for exceptions

Someone needs to handle missing responses, access problems and unusual answers. Decide how staff contact that person and how managers see the status they need. An automated reminder is useful only when there is a workable next step.

Test before expanding

Try your induction process with a small group. Ask whether staff understand each step and know who can help. Care Enable Training can help turn approved documents into practical lessons and acknowledgement steps. Email learn@careenable.online to discuss custom induction and membership.

Online induction forms: a practical team exercise

Walk through one onboarding handover

Use a fictional new starter to test a form, acknowledgement and learning task. Follow the process as both the worker and the administrator. Identify where someone needs to review an exception instead of assuming an automated message resolves it.

Review these questions

  • What does completion record?
  • Who reviews missing answers?
  • How does the worker ask for help?

Agree one improvement, nominate the person responsible and choose when to review it. Keep the exercise separate from decisions requiring specialist advice or role-specific authorisation.
