Begin with the roles

List the roles in your service before listing every course you own. Identify the knowledge each role needs and any person-specific training that sits outside a general course library. A matrix works best when it explains why a requirement applies.

Choose useful fields

A practical starting point is the worker’s role, required learning, completion date, evidence location, review date and responsible manager. Include a way to record an exception or an unresolved question. Avoid collecting fields that nobody uses to make a decision.

Separate learning from authorisation

Keep an online completion record distinct from qualifications, practical assessment and approval to carry out a task. If a worker needs several forms of evidence, the matrix should make those visible rather than using one green status for everything.

Give the matrix an owner

Decide who updates it when a worker joins, changes role or leaves. Set a regular review that focuses on exceptions and upcoming learning needs. A smaller current matrix is more useful than a large spreadsheet that managers no longer trust.

Where possible, give staff a clear route from each training requirement to the relevant course or procedure. Email learn@careenable.online for help choosing courses, requesting membership and planning a learning pathway for your team.

Staff training matrix: a practical team exercise

Follow one worker’s learning pathway

Use a fictional staff record and follow the role, learning requirements, evidence and review date through the matrix. Identify whether a manager can see what is complete, what is still needed and who owns the follow-up.

Review these questions

  • Are course completion and competency separate?
  • Is the evidence accessible?
  • Who updates a role change?

Agree one improvement, nominate the person responsible and choose when to review it. Keep the exercise separate from decisions requiring specialist advice or role-specific authorisation.
